How to Plan a CEO Day for Service Providers (and actually stick to it!)

When you’re busy running a service-based business, it’s easy for the weeks (and months!) to blur together. Before you know it, your goals are gathering dust in a notebook somewhere and overwhelm is creeping in.

That’s why I set aside a CEO day for service providers every single month.

It’s my way to step back, reset, and make sure I’m actually moving in the right direction — instead of just spinning my wheels.

Here’s how I plan and run my CEO Day, and how you can create one that works for you too.

What is a CEO Day for Service Providers?

How to plan CEO day

A CEO day for service providers is simply a dedicated block of time to work on your business, not in it.
It’s your chance to zoom out, reflect, and make strategic decisions instead of reacting to whatever feels urgent.

Whether you’re a freelancer, consultant, or creative business owner, this time helps you reconnect with your goals, review what’s working, and plan ahead with intention.

Make it non-negotiable

The first step is simply to save the time. Block it out in your calendar, and treat it as seriously as you’d treat a client deadline.

If something urgent comes up, reschedule — but never cancel. Protect this time at all costs.

I like to schedule mine on the last Friday of the month, so I can reflect on what’s just happened and look ahead to the next month.

But the exact timing doesn’t matter as long as it’s consistent.

Change your perspective

Your CEO Day isn’t about business as usual.

I like to set myself up somewhere different to spark a fresh perspective.

That might be a coffee shop, a co-working space, or even just a different chair in the house.

The location doesn’t matter as much as the mindset: today, you’re working on your business, not in it.

Start with a check-in

I always begin with my to-do list.

What’s been ticked off, what’s still hanging around, and what’s been lingering forever without progress?

Then I link everything back to my goals.

For example:

  • If I’ve been meaning to grow my email list (a goal I myself am currently working on – do join my email community here), I’ll check whether the actions to support that are on my list — like drafting a new lead magnet or sharing my sign-up form more often. 😉
  • If something has been sitting there forever and I clearly don’t want to do it, I’ll let it go. Freeing up mental space is just as valuable as ticking boxes.

How to structure a CEO Day for service providers

Here’s how I structure my own CEO day for service providers to keep things simple, focused, and sustainable:

Reconnect with your goals

This is the heart of CEO Day: getting clear on where you’re heading.

I check in on my goals for the next month, quarter, and year.

Then I ask: Is what I’m doing right now actually helping me achieve these?

Examples might be:

  • A small goal like adding 100 new subscribers to my email list.
  • A medium goal like launching a new service.
  • A big goal like signing a new client.

Once I’ve chosen my focus, I work backwards: what steps will get me there, and how can I realistically fit them into my calendar?

Review and reflect

This is a step I don’t do enough, as I get excited about the planning part, but it’s a good idea to do, and that’s looking at the data.

That means checking social numbers, email list growth, client projects, and income.

If the goal is to launch a new service, I’ll look back at what worked when I last introduced something new. 

If the goal is to grow my list, I’ll check whether my existing lead magnets are performing. 

And if I’m chasing a new client, I’ll review how past clients found me.

The patterns I spot here guide where I put my energy next.

How to plan CEO day

Plan realistically

This is where overwhelm can creep in if I’m not careful! It’s easy to get excited by all the possibilities — and then panic about how to fit it all in alongside client work and actual life.

So I map out my month in detail:

  • What’s my top priority, and when will I work on it?

  • What deadlines and client projects are already in the diary?

  • Where do I have space for marketing, content, or development work?

If my big goal is to sign a new client, I might plan lead-generation activities like networking events, outreach, or content that showcases my services. 

If my medium goal is launching a service, I’ll break it down into tasks like writing the offer page, updating my website, and creating a launch email. 

And if my small goal is more subscribers, I’ll schedule the steps needed to bring a new lead magnet to life.

Each of these feeds the next: more subscribers lead to more launch success, which in turn makes it easier to sign that dream client.

Tidy up loose ends

Before I wrap up, I do a mini reset so I feel fresh going into the new month.

That usually includes:

  • Clearing my downloads folder and tidying Google Drive.

  • Sorting through my inbox.

  • Reviewing client projects and checking what’s overdue, paused, or about to start.

  • Chasing or sending invoices.

And once a quarter, I go deeper into finances — filing receipts, reviewing subscriptions, and checking income against expenses. Future me (and my accountant!) is always grateful.

A CEO day for service providers isn’t about creating a complicated ritual — it’s about giving yourself breathing space so you’re not running on autopilot.

When you step back, review, and reset:

  • Small goals like growing your email list suddenly feel achievable.
  • Medium goals like launching a service stop being overwhelming and start being manageable.
  • Big goals like signing new clients feel less out of reach — because you’ve already laid the groundwork.

Each one supports the other, building a business that grows with purpose instead of chaos.

So pick a day this month, block it out, and commit to your CEO Day. Even if it’s just an hour, you’ll feel the difference.
